Who we are

Maiwand FC is a community football club based at Keith Hay Park in Auckland. This policy explains how we collect, use, store and share personal information, and how we meet our obligations under the New Zealand Privacy Act 2020.

What we collect

We only ask for what we need to run the club:

  • Team registrations — team name, category or age bracket, kit colours, squad size, and the captain, manager or coach’s name, phone number and email.
  • Kids individual registrations — your child’s name, date of birth, gender, football experience and skill rating, any friend request, the parent or guardian’s name, mobile number and email, and any medical or accessibility needs you choose to tell us about.
  • Enquiries — your name, contact details and message when you use our contact or sponsorship forms.

We collect this information directly from you, or from the parent or guardian completing a form for a child.

Why we collect it

We use your information to manage registrations for the season, place children in suitable teams, contact you about matches, training and club news, look after player welfare on match days, and reply to your enquiries. We will not use it for anything unrelated without asking you first.

Children’s information

Registrations for children are completed by a parent or guardian, who confirms they give permission for the child to take part. Medical or accessibility details are only used to keep the child safe and are only seen by the people who need them.

Who sees it

Only named Maiwand FC committee members with a website login can see registration details. We never sell your information or share it with sponsors or advertisers. We only pass details to others when it is needed to enter teams into a competition, to keep someone safe, or when the law requires it.

The email the committee receives when a form is sent contains only a short summary — never a date of birth or medical details.

How we keep it safe

Registrations are stored on our website behind a secure login, and access is limited to the committee. We take reasonable steps to protect your information from loss, misuse and unauthorised access.

How long we keep it

We keep registration entries for months after the season ends. After that they are deleted automatically.

Seeing or correcting your information

You can ask to see the personal information we hold about you or your child, and ask us to correct it. Email info@maiwandfc.co.nz and we will respond within 20 working days.

Privacy breaches

If a privacy breach happens that is likely to cause serious harm, we will tell the people affected and the Office of the Privacy Commissioner as soon as we practicably can.

Questions and complaints

Our Privacy Officer looks after privacy questions and requests — email info@maiwandfc.co.nz. If you are not happy with our response, you can contact the Office of the Privacy Commissioner.
